OFFICE COORDINATOR
POSITION DESCRIPTION
The Office Coordinator ensures the smooth day-to-day operations of the Charlotte Community Foundation (CCF) by managing administrative tasks, coordinating office services, and supporting staff and visitors. This role is central to maintaining an organized, welcoming, and efficient work environment and often serves as the first point of contact for guests, vendors, and partners. This position will take daily directions and reporting from the Chief Financial Officer (CFO).
DUTIES & RESPONSIBILIES
• Staff & Visitor Support
Greet and direct individuals visiting the foundation’s location, answer, assist, and direct all incoming telephone calls to appropriate parties. Coordinate businesses’ lunches, meeting needs and other related duties.
• Administrative & Office Support
Perform related clerical work such as typing, filing, and sorting mail distribution. Use applicable software programs to create inventories, letters, and other business-related documents.
• Facilities & Operations Management
Maintain office supply inventory and purchasing. Open or close the facility buildings, ensure meeting rooms are organized and tidy, contribute to the preparation, set up and breakdown of special events, as needed.
• Compliance & Recordkeeping
Maintain accurate records of contracts and vendor agreements, assist with implementation and documentation of operational policies and procedures. Ensure compliance with organizational policies, including confidentiality and safety standards.
• Additional tasks as assigned
Provide back-up support to other staff as needed. Contribute to special projects to improve office systems, culture, and efficiency.
QUALIFICATIONS
Experience
• Demonstrated administrative experience
• Excellent customer relationship skills
• Technical proficiency with basic office and business meeting equipment & software
• Excellent oral and written communication skills
Preferred Qualifications
• Familiarity with community foundations, nonprofits, or philanthropy is a plus.
• A bachelor’s degree a positive.
• A positive outlook, with a sense of humor a bonus.
• Knowledge of Charlotte County, FL
Compensation and Benefits
The position is full-time, with CCF in-person office hours as Monday through Friday from 9:00 am to 5:00 pm. The salary range for this position is $35,000 – $45,000 USD annually. Benefits include an insurance stipend, retirement matching, and paid holidays.
The prime candidate for this position will be mission-driven and attracted to the personal and professional fulfillment of owning a new role and becoming part of a new team being formed to make an impact at the community level. Training relevant systems will be provided.
